Overseeing scheduling, client communication, and data input, the Office Manager coordinates business events, collaborates on marketing initiatives, and ensures a memorable client experience. Working as part of a team, this role coordinates communication and calendars between financial advisors, clients, and the client service team. Additionally, this position manages office facilities, collaborating with internal and external partners, and overseeing inventory and supply acquisition.

Essential Duties and Responsibilities

If hired for this role, you will…

  • Collaborate with Facilities Manager and local third parties to maintain the efficient operation of office to a world-class standard.
  • Assist 2-3 Financial Advisors, meeting their needs for communication and coordination of their duties.
  • Answer phones and greet clients in a warm and friendly manner.
  • Efficiently manage client data input, interaction notes recording, database maintenance, tracking, filing, form preparation, and client correspondence for streamlined communication and organization
  • Coordinate and host Howard Bailey seminars and other marketing, in-office and client events and provide support to various after-hours client events.

Education and Experience

  • Associate’s degree or higher in Business Administration, Communication, or the equivalent. 
  • 2+ years of experience working in a professional, fast-paced office environment. 
  • Proficient in digital technology, including Microsoft 365 applications (Word, Excel, SharePoint), Salesforce, Calendly, and SMS on iOS devices. 

In addition, Howard Bailey sponsors the pursuit of certain certifications and designations such as the Financial Paraplanner Qualified Professional (FPQP) that enhances knowledge of the financial industry and enables team members to excel at their job.
